Purpose of the position:

To capture clinical data on clients rendered service from the facilities, mobile and outreach teams; Maintain electronic database for data submitted; Check data correctness, completeness, consistency and data verification by liaising with relevant staff. (This is a contract position renewable based on funding)

Minimum Requirements
• Grade 12 / matric
• 1 – 2 years’ experience with HIV, AIDS and STI programme data
• IT or networking experience in capturing data, maintaining and/or updating databases
• Certificate in computer programmes including MS Office, Excel, PowerPoint and database software
• TIER.Net, ETR, Web DHIS and health information and information management background
• Proficiency in English and isiZulu/any local language
• Clear criminal record

Duties and Responsibilities
• Prepare PrEP folders – this means getting all the stationery ready and ensuring that there are sufficient client folders “pre-populated” with the correct stationery and providing it to the clinical teams.
• Neatly file PrEP client folders at the regional office
• “Pull” PrEP client folders based on schedules provided by clinical staff (files should not be kept on the mobiles)
• Enter newly initiated clients on the electronic Excel PrEP register from source documents (this should preferably have done on a daily basis to avoid a back-log)
• Update client information on the electronic Excel PrEP register from source documents (this should preferably have done on a daily basis to avoid a back-log)
• Liaise with clinical staff and counsellors to rectify any gaps/errors on the clinical stationery
• Enter HTS data that is done as part of the PrEP programme on BOCS at the regional office once/twice per week depending on the quantity (to be determined by M&E department)
• Capture data at catchment facilities where required on Tier.net PrEP module (once installed)
• Assist in preparing daily/weekly reports tracker as required
• Assist with the HTS RDQAs as determined by M&E department
• Assist with PrEP data verifications as required

• Assist M&E Coordinator in providing monthly data to DoH
• Assist with site visits
• Assist with preparing the PrEP T&T data summary on a monthly basis
• Ensure the electronic Excel PrEP register is submitted to M&E on time on a monthly basis
• Update results from NHLS on PrEP registers
• Follow up on missing lab results
• Filing lab results in the relevant PrEP folders
• Linking the clients that tested HIV positive with the linkage officer.
• Capturer clients from PP_PREV interventions on the PP_PREV database
• Ensure every client signed the intervention register and filled in the demographic form before capturing
• Identifying duplicates before capturing
• Preparing intervention registers and demographic forms for verification by M&E Coordinator/ Data Monitor
• Neatly file PP_PREV client attendance registers and demographic forms at the regional office
• Assist with PP_PREV data verification
• Any other duties as assigned by the Data Monitor, Site Manager and/or Project Coordinator
• Attend workshops, meetings and trainings as required
