Job Description
Generic Duties:

  • complying with and assisting the company in complying with all relevant legislation and Company Policies, including but not limited to:

1.1. Occupational Health and Safety Act;

1.2. Value Added Tax Act,

  • Compiling, updating and implementing policies and procedures relevant to your duties;
  • Continuously monitoring existing processes with the aim of improving and recommending improvements to those processes;
  • Maintaining and creating backups of all documents, information and data relevant to these responsibilities;
  • Taking instruction from your Line Manager;
  • Doing all things necessary to enable the Employee to substitute for another Employee and vice versa, for the persons stated above;
  • Reporting matters of importance or any problems encountered to your Line Manager as soon as reasonably possible;
  • Continuously working to a standard that enables other Employees to assist for short durations or take over the Employees duties permanently;

Specific Duties

  • Reception duties

1.1. Answering switchboard timeously and Directing calls efficiently, directing visitors , taking messages, distributing messages and attending to incoming physical mail;

1.2. Operating the Switchboard, fax machine, copier and computer;

1.3. Typing, included but not limited to:1.3.1. Gauss meter readings;1.3.2. Typing packing lists for dispatch.

1.4. Filing, included but not limited to:1.4.1. Sales Files and delivery notes;1.4.2. Filing rooms to be organized.

1.5. Creating sales and quotation files daily;

  • Accounts Receivable Duties

2.1. Recording, processing and filing customer credit applications and vendor forms;

2.2. Following up on trade references and bank codes;

2.3. Scanning customer delivery notes and filing them;

2.4. Capturing delivery dates in delivery date database

  • Accounts Payable Duties

3.1. Recording, processing and filing supplier credit applications and vendor forms;

  • Tax Duties

4.1. Sourcing export documentation;

  • Ad Hoc Duties

5.1 Any other duties which may be need on a ad hoc basis which may relateto any department within the company.

Inherent Requirements
Reception and admin experience

General debtors/creditors knowledge

MS Office competency

Excellent communication skills, presentable

Working hours: 8.00am – 4.30pm Mon-Friday
